13. Best Practices

1. Check Analytics Regularly

Recommended frequency:

  • Daily: High-traffic forms, active campaigns
  • Weekly: Most business forms
  • Monthly: Low-traffic forms, seasonal forms

What to monitor:

  • Conversion rate changes
  • Submission trends
  • Problem fields
  • Device performance

2. Set Benchmark Goals

Example goals:

Conversion Rate: 45% (industry average: 35%)
Completion Time: < 3 minutes
Mobile Conversion: 35% (desktop: 50%)
Field Response Rate: > 90% for all required fields

Track progress:

  • Weekly/monthly goal review
  • Celebrate improvements
  • Identify declining metrics
  • Adjust goals as needed

3. Act on Insights

Don't just collect data - use it:

High abandonment? → Reduce form length, improve UX

Low mobile conversion? → Optimize mobile layout, test on devices

Problem fields identified? → Clarify labels, add help text, simplify

Peak hours discovered? → Schedule emails, plan support coverage

4. A/B Test Changes

Before making changes:

  1. Note current metrics
  2. Make one change at a time
  3. Wait for significant data (100+ submissions)
  4. Compare before/after
  5. Keep what works, revert what doesn't

5. Segment Your Analysis

Analyze different groups:

  • New vs returning visitors
  • Desktop vs mobile users
  • Different traffic sources
  • Geographic regions
  • Time periods

Example:

Desktop Users:
Conversion: 55%
Avg Time: 2:30

Mobile Users:
Conversion: 32%
Avg Time: 4:15

Action: Optimize mobile experience

6. Combine with External Analytics

Use alongside:

  • Google Analytics (traffic sources)
  • Heatmaps (user behavior)
  • Session recordings (UX issues)
  • A/B testing tools (variants)

Cross-reference data:

  • Form analytics: What happens in the form
  • GA: How users get to the form
  • Heatmaps: Where users click/struggle
  • Recordings: Why users abandon

7. Privacy and Compliance

Respect user privacy:

  • Anonymize data when sharing
  • Follow GDPR/privacy regulations
  • Don't export personal info unnecessarily
  • Use aggregated data for analysis

Compliance:

  • Get consent for tracking (if required)
  • Provide opt-out mechanisms
  • Secure analytics data
  • Regular data retention review

8. Document Changes

Keep an analytics journal:

Date: Jan 15, 2024
Change: Reduced form from 12 to 8 fields
Before: 42% conversion
After: 58% conversion
Result: +16% improvement ✅
Keep: Yes

Benefits:

  • Learn what works
  • Don't repeat mistakes
  • Share knowledge with team
  • Build optimization playbook

14. Troubleshooting

No Data Showing

Possible causes:

1. Date range too narrow

  • Solution: Expand date range to "Last 30 days" or "All time"

2. Form recently created

  • Solution: Wait for submissions to accumulate

3. Form not published

  • Solution: Check form status, publish if needed

4. Tracking not enabled

  • Solution: Verify analytics settings in form configuration

5. Browser cache issue

  • Solution: Hard refresh (Ctrl+Shift+R) or clear cache

Incorrect Metrics

Data seems wrong:

1. Multiple form versions

  • Check if viewing correct form
  • Ensure date range matches expectations

2. Test submissions included

  • Filter out test users
  • Delete test submissions

3. Timezone differences

  • Check admin timezone settings
  • Verify server time configuration

4. Cache delay

  • Analytics may cache for performance
  • Wait 5-10 minutes for fresh data
  • Use "Refresh" button

Slow Loading

Analytics page loads slowly:

1. Large dataset

  • Reduce date range
  • Use pagination
  • Export for offline analysis

2. Too many concurrent users

  • Wait and retry
  • Schedule reports instead
  • Use off-peak hours

3. Server resources

  • Contact hosting provider
  • Upgrade server plan
  • Enable caching

Export Issues

Can't export data:

1. Browser blocking download

  • Allow pop-ups from domain
  • Check download folder
  • Try different browser

2. File too large

  • Reduce date range
  • Export in segments
  • Use CSV instead of PDF

3. Permission issues

  • Verify user permissions
  • Check admin role
  • Contact administrator

AI Insights Not Working

AI analysis fails:

1. No credits

  • Check credit balance
  • Purchase more credits
  • Configure credit limits

2. Field type not supported

  • Only text fields supported
  • Select different field
  • Ensure sufficient responses

3. API connection issue

  • Check AI Core configuration
  • Verify API key
  • Test connection

4. Insufficient responses

  • Need minimum 10-20 text responses
  • Wait for more submissions
  • Combine multiple form runs

Missing Features

Feature not visible:

1. Form type limitation

  • Some features only for quizzes/surveys
  • Check form type
  • Create new form if needed

2. Version outdated

  • Update EasyForms to latest version
  • Check changelog for features
  • Clear cache after update

3. Permission restricted

  • Verify user role
  • Check ACL settings
  • Contact administrator
