Set up organizations and their teams
An organization keeps a company's or team's people and learning together. Several organizations can share your academy while keeping their administration and reports separate.
Create an organization
Open Organizations and create a new record. Give it a recognizable name and a short address using lowercase letters, numbers, and hyphens. Choose the address carefully: it is the organization's stable identifier and cannot be renamed like the display name.
The creator becomes the first owner. Creating the organization does not invite members, release courses, or enrol anyone automatically.
Open Configuration to review its contact email, language, and time zone. These describe the organization; they do not replace your website's email delivery settings.
Find your way around
| Area | What to do there |
|---|---|
| Overview | Check membership and learning summaries |
| Members | Add existing users, invite people, and manage membership |
| Units | Organize teams or departments |
| Course access | Release courses and assign learning |
| Seats & capacity | Allocate limited training places |
| Configuration | Maintain organization details and available governance options |
| Activity | Review changes made within the organization |
Add members
Add an existing website account for immediate membership. Use an email invitation when the person needs to accept an invitation and complete the required account verification. Check the email address before sending.
Membership alone does not grant access to every course. After adding people, follow organization learning to release and assign courses.
Assign roles according to each person's work. An organization administrator manages the permitted organization scope; this does not make them a Joomla Super User or a WordPress Administrator. A unit manager's responsibilities can be narrower still.
Use units for departments
Create units for teams such as Sales, Kitchen, or Customer Support. Place members in the appropriate units and appoint managers where your installed features allow it. Review the resulting scope with a manager account before sharing reports.
Optional governance tools can provide custom roles. Grant only the rights the role needs. A custom role cannot be used to give someone authority that the person creating it does not hold. If membership is managed by an external directory, make the authoritative change there.
Pause or end participation
Suspending a member stops their organization-derived access. It preserves historical evidence and does not cancel personal access or access from another organization. Marking a person as having left also keeps the historical relationship for authorized review.
Suspending an entire organization stops its delegated management and organization learning. Background cleanup may still need to finish. After reactivation, review assignments and seats rather than assuming every previous access grant has been recreated.
Use Activity and organization reports to investigate changes. Treat a missing course as an access question before treating it as lost data.
