Offer and assign organization learning

An organization needs to know which courses it may offer. A member then needs an appropriate assignment or seat to take the training. This prevents joining an organization from accidentally unlocking your entire catalogue.

Release a course​

  1. Open Organizations, select the organization, and open Course access.
  2. Release the course to that organization.
  3. Check that the course is published and that the intended members have active membership.

A release makes the course available to the organization. It does not enrol every member immediately.

Assign learning​

From Course access, assign the released course to the relevant active members. Review any requirement and due-date options available for the assignment. Use Seats & capacity instead when access is controlled by a funded seat pool.

Tell learners whether training is required and when they should finish it. If an assignment is required, verify that it appears in their outstanding learning rather than relying only on a notification being sent.

Existing progress is preserved when a learner receives another valid access grant for the same course. For a new certification cycle, use the supported recertification workflow rather than repeatedly removing and adding access.

What the learner sees​

Your organizations lists the organizations the learner belongs to. Each organization's View learning action opens its own learning view, including courses assigned to the learner and courses offered through that organization.

The counts have different meanings:

  • Assigned to me: courses assigned through this organization.
  • Available to me: courses offered in the organization context; these are not necessarily already started or enrolled.
  • Required outstanding: required learning that still needs attention.

The learner's general My learning page also brings together accessible enrolled courses. It can contain personal purchases and learning from several organizations. The organization view provides the context that the general list cannot.

Withdraw access carefully​

Withdraw a course release to stop that organization's access to the course. Revoke a direct assignment through Course access. Return a seat through its seat pool, subject to the pool's return policy.

These actions affect the relevant organization's grant. They do not erase learning history or cancel a separate purchase or assignment from another source.

Programmes and ordered learning​

Where an installed programme integration is available, it can present an ordered selection of released courses. Only eligible, published courses should appear. Do not assume that arranging a list of courses automatically creates cross-course prerequisites: configure and test the intended access rules too.

If a course is missing​

Check publication, organization release, active membership, assignment or seat status, and dates. A full seat pool can leave an allocation pending without granting access. See seats and invitations and access rules.
